Terms and Conditions

i. Your contact and personal details will be kept by us so that we can contact you in regards to your booking.

ii. Your financial details are never stored, nor seen, by us.

iii. We will not pass on or sell your details to any third parties.

iiii. We will not pass on your details to any third party except with your permission.

 

2. Our Website

i. The content on our website is provided for general information only. It does not amount to advice on which you should rely. While we make reasonable efforts to keep the information on our site up-to-date we make no representations, warranties or guarantees that the content is accurate, up-to-date or complete.

ii. While we make every effort to ensure our website is free from malware we do not guarantee its safety.

iii. In no event will we be liable for any loss or damage arising from or in connection with the use of our website.

iv. Every effort is made to keep the website up and running smoothly. However Colemans Farm takes no responsibility for, and will not be liable for, unavailability of the website or any losses arising therefrom.

v. Through this website you are able to link to other websites which are not under the control of Colemans Farm. We have no control over the nature, content or availability of those sites. The inclusion of any links does not imply a recommendation or endorsement of the views expressed within them.

 

3. Booking

i. To secure your booking we require full payment for your stay. When paying via Paypal the room is secured as soon as Paypal has processed the payment – a confirmation email will then be sent to you. When paying via bank transfer the room will be held for a maximum of 24 hours pending receipt of payment – once payment is received a confirmation email will be sent. Should payment not be received within 24 hours of booking the room will be released and the booking will be cancelled.

ii. We have a minimum stay policy of 2 nights. There will be no discount for any members of your party who are only staying for a single night.

iii. Where we have a last minute cancellation we may, in order to make full use of the rooms, make single night booking available. We will do this rarely and only at short notice.

iv. The person booking is responsible for disseminating all relevant Colemans Farm information to others in the party. This includes these Terms and Conditions, information contained in email correspondence between Colemans Farm and the booker, and information contained in the hideaways. This is to ensure that all guests are fully aware of the working nature of the farm, the wider woodland, the on-site facilities, health and safety issues, and the appropriate clothing/footwear required.

 

4. Payment

i. Payment is via bank transfer or Paypal.

ii. Payment is in UK Pounds Sterling only.

 

5. Booking Changes & Cancellations

i. Within 30 days of the arrival date a booking cannot be moved or cancelled and no refund will be paid.

ii. Where there are more than 30 days but fewer than 70 days until the arrival date a booking cannot be cancelled but we will do our best to move the date, subject to availability. Where the booking is moved to a date for which a higher sum is chargeable the difference will be owed.

iii. Where there are more than 70 days until the arrival date a booking may be cancelled and will be refunded in full.

iv. Requests for booking changes or cancellations must be made in writing by the person who booked the room.

v. Notwithstanding the above, where we are prevented from fulfilling your booking as a result of circumstances beyond our control we will make best efforts to move your booking, subject to availability, to a date convenient to you. Where we are not able to move your booking we will refund the cost of the booking in full. This clause applies to all events outside of our control including (but not limited to) fire or flooding at Colemans Farm, war, natural disasters, civil unrest, epidemics. In the event of bookings being moved or cancelled and refunded under this clause we will not be liable for any further expenses incurred in relation to the booking.

 

6. Your visit to Colemans Farm

i. Only those guests originally booked are permitted to stay on site. Any extra guests will only be permitted on site at our discretion. If additional guests are allowed on site then extra charges will be incurred at £10.00 per extra guest per day.

ii. Guests and visitors agree not to act in any way which would cause disturbance to other guests. We have several hideaways within relatively close proximity and guests are coming for a relaxed and quiet retreat. Quiet background music is permitted until 10pm. After 10pm noise levels must be kept to a minimum. If there are any complaints about your behaviour you will be given one warning. If you continue to be disruptive then you will be asked to leave the site and no refund will be given.

iii. Guests and visitors agree to be considerate tenants and to take good care of the hideaways and facilities during their stay. If any property is damaged during your stay please inform us immediately. Serious damage to property will result in the group being charged the full amount for replacement.

iv. Fireworks, sparklers and Chinese lanterns are not permitted on Colemans Farm.

v. You may not arrange for visitors to join your group on-site during the day without our prior permission in writing.

vi. Pets are not permitted when staying at the Coop, the Trap or the Old Oak. Pets are permitted at the Nook.

vii. By booking and coming to Colemans Farm you agree to be responsible for your own welfare, as well as that of any minors in your charge. You also agree to take all reasonable precautions against personal injury, injury to others and damage to the woodland, on-site facilities and the hideaway.

viii. Colemans Farm is not responsible for any damage or loss to possessions that you bring to the farm or wider woodland. You use the facilities and amenities at the farm and wider woodland at your own risk (for example – but not limited to – the fire pits and hot tubs). Candles and tea lights found in the hideaways must be kept within the candleholders and containers when alight (with the exception of the dining table candelabra in the Old Oak which must remain on the dining table when lit).  

ix. Colemans Farm accepts no responsibility for any loss or injury arising from being on the farm or wider woodland. (For example, the woodland may contain deadly poisonous mushrooms, toadstools, and fungi.) By booking with us you acknowledge these Terms and Conditions and state that you are aware of the dangers to property and the risk of personal injury that come with entering the farm and woodland.

x. Staying on a farm in Britain can mean dramatic variance in weather in a short period of time. Whilst we supply certain facilities and equipment, as described in the inventory sent to guests on confirmation of payment, your hideaway is on a working farm and you are responsible for your own well-being and comfort regarding appropriate clothing and footwear, etc.

xi. Colemans Farm cannot accept responsibility for any loss, damage or expense arising from any event outside the control of the company incurred during your stay. Such events include (but are not limited to) war, civil unrest, epidemics, weather events.

xiii. Please note, if the group fails to adhere to any of these terms and conditions you will be asked to leave without any refunds.

 

7. Checking out

On the morning of check out you must have cleared everything out of your hideaway by 11am (unless otherwise agreed with us) so that the room can be cleaned. You are welcome to leave your cars on-site and head off for a walk, etc, for a short period after checking out, but you are not permitted to remain on-site after 1:30pm on check out day.

 

8. Customer Complaints

In the first instance of a complaint please contact us so we can resolve your problem. Please do so via the online contact form, or by letter to;
